How we get the personal information and why we have it

Information From You

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Regular updates, notifications, and general information about our organization. For example, we issue a newsletter to subscribers. 

  • We contact you on a regular basis or have a legitimate reason we may need to contact you again. 

  • We employ or pay you for services provided to Ashgro or one of its fiscally sponsored projects.

We get the information from one of the following methods:

  • You provide us with the information directly via email or via a form submission. 

  • Your information may be collected due to activity on our websites (https://www.ashgro.org or https://app.ashgro.org/) either directly through your submission of information or via the use of Cookies or other tracking technologies.

  • One Ashgro’s Fiscally Sponsored projects may have your information and the Project Director may give us your information.

Information From Others 

We also receive personal information indirectly, from the following sources in the following scenarios:

  • We receive data from other Effective Altruism organizations such as the Centre for Effective Altruism.


How We Use Your Personal Information

We use the information that you have given us in order to

  • Email subscribers of our mailing lists

  • Keep contact information for clients, vendors, or other individuals vital to the organization’s operations.

  • Maintain a record of who we have worked with historically.

  • Fulfil our tax obligations with the IRS.

We may share this information with third party services who support our operations (data processors)

  • Our accountants, Jitasa Group. https://www.jitasagroup.com/

  • Any third party companies relevant to the service we are providing you (HR platform, Accounting software, card payment platform, bank)

  • Any additional administrative contractors brought in to support the operations of the company. For example our HR Contractors who support our US payroll. 

Lawful Basis

Under the General Data Protection Regulations (GDPR, CCPA), the lawful bases we rely on for processing this information are: 

  1. Your consent. You are able to remove your consent at any time. You can do this by contacting team@ashgro.org

  2. We have a contractual obligation.

  3. We have a legal obligation.

  4. We have a legitimate interest. 

How we store your personal information 

Your information is securely stored. All personal information is stored in our CRM, Google workspace and if relevant one of the HR Platforms which we use.

The types of personal information we may keep are:

  • name

  • email addresses

  • phone numbers

  • nationality (HR Only)

  • Income (HR Only)

  • Website, linkedin or other social media pages

  • IP Address

  • physical address

  • mailing address

  • place of business / Employer

  • Business ID (if payment or employment is required)

  • Tax ID (if payment or employment is required)

We will retrain your personal information until you ask for us to delete it for you. We will then dispose of your information by deleting it from the relevant platform.

Transferring your data internationally

Your personal information may be stored and processed outside of the country where it is collected, including outside of the European Economic Area.

We do not sell your personal data.


Your data protection rights

Under data protection law, you have rights including:

  1. Your right of access - You have the right to ask us for copies of your personal information. 

  2. Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

  3. Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

  4. Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

  5. Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

  6. Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organization, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
